Part Time Operations Administrator

Operations Administrator - Part-Time (20 hrs/wk) (Rohnert Park/Santa Rosa area) – Position to be working remotely during COVID-19 shutdown and possibly afterward.

(Operations Administrator - 20 hours per week. Possibility to expand to additional hours/week – potentially up to 40/wk - based on company needs and candidate’s successful job performance.)

 

Summary

The Operations Administrator role falls under the Operations Department which functions as the point of contact for both VinoPRO’s wine sales team and our winery clients. The right person will be a combination both of the right skills and the right attitude.  The basic requirements include a minimum of 5 years successful experience performing fast-paced, detail-oriented work in an office or similar professional setting that includes daily contact with clients/customers as well as other company employees/departments. There is potential room for advancement for the right person, based on high-level performance, the ability to learn new skills and adapt to doing things the VinoPRO way, the ability to interact in a positive, professional manner with clients and co-workers, and positive performance reviews, among other criteria.


Responsibilities

  • Customer service liaison with our winery clients
  • Keeping all client information up to date in our systems
  • Drafting/sending effective and accurate emails
  • Reviewing sales orders for accuracy before they are sent to our clients
  • Analyzing our products needs and requesting products from our clients as needed
  • Ability to effectively and professionally interface with clients and staff of all levels
  • Assist with research and audits when needed
  • Other duties as may be required

 

Job Requirements

  • Positive, upbeat attitude
  • 5 years of experience in an office setting - wine industry order experience a plus
  • Excellent communication skills, both written and oral
  • Proficiency with office technology and equipment, including, printers, copiers, scanners, and computers
  • Computer literate (Word, Excel, Gmail)
  • Excellent attendance and punctuality
  • Flexibility and adaptability
  • Previous experience with Microsoft Dynamics NAV and CRM, e-Winery, AMS, and e-Cellars is highly desirable

  • Ability to analyze business problems from both a qualitative and quantitative perspective
  • Ability to follow specific detailed directions. We do things a certain way in our department, which we've developed over the years. It may not always make sense from the outside, but we need someone able and willing to do things "the VinoPRO way", rather than try to re-invent the wheel!

  • Proven team player willing to do what it takes to get the job done
  • Able to work under deadlines and handle multiple and detail-oriented tasks
